1. Cancellation of Booking

Guests may request cancellation of their reservation by contacting VIFA RETREATS through the phone, WhatsApp, email, or other booking channel used to make the reservation.

Cancellation will be considered effective only after confirmation from VIFA RETREATS.

2. Cancellation Charges

Cancellation charges depend on the booking terms communicated at the time of reservation.

Unless a different cancellation condition has been specifically confirmed:

• Cancellation before the applicable free-cancellation deadline: No cancellation charge may apply.
• Cancellation after the free-cancellation deadline: Applicable cancellation charges may be deducted.
• Non-refundable booking: The amount paid may not be refundable.
• Special promotional rate: Different cancellation conditions may apply.

The applicable cancellation terms will be communicated to the guest before or at the time of booking.

Important: The exact cancellation window and percentage/amount of cancellation charges should be added once VIFA RETREATS finalizes its commercial cancellation policy.

3. Refunds

Where a refund is applicable:

• The refundable amount will be calculated according to the applicable booking terms.
• Any applicable cancellation charges will be deducted before processing the refund.
• Refunds will generally be made through the original payment method where practical.
• Processing time may depend on the payment gateway, bank, card issuer, or other payment service provider.
• VIFA RETREATS is not responsible for delays caused by third-party financial institutions.

4. No-Show Policy

If a guest does not arrive on the scheduled check-in date and has not informed VIFA RETREATS in advance, the reservation may be treated as a no-show.

Any applicable no-show charges or refund eligibility will depend on the booking terms.

5. Early Departure

If a guest checks out before the originally confirmed departure date, the unused portion of the booking may not automatically qualify for a refund.

Any refund or adjustment will be subject to the applicable booking and cancellation terms.

Guests are requested to inform VIFA RETREATS as early as possible if their stay needs to be shortened.

6. Modification of Booking

Guests may request changes to:

• Check-in date
• Check-out date
• Number of guests
• Room category
• Duration of stay

All modifications are subject to room availability and applicable rates.

A modification is considered confirmed only after approval from VIFA RETREATS.

Any difference in room rate or applicable charges may need to be paid by the guest.

7. Property-Initiated Cancellation

In exceptional circumstances, VIFA RETREATS may need to cancel or modify a reservation due to circumstances beyond its reasonable control, operational requirements, safety concerns, government restrictions, or other unforeseen circumstances.

Where applicable, the property will communicate the available options to the guest.

8. Force Majeure

Cancellation or changes resulting from circumstances beyond reasonable control—including natural disasters, government restrictions, public emergencies, major infrastructure disruptions, or similar events—will be handled based on the circumstances and applicable booking terms.

9. Booking Channel Terms

If a reservation is made through a third-party booking platform, the cancellation and refund terms applicable to that booking platform and rate plan may apply.

Guests should refer to the cancellation conditions displayed at the time of booking.

For direct bookings with VIFA RETREATS, the cancellation terms communicated by the property will apply.
